✨Hiring an Administration Manager
Cian's Kennels is a registered charity dedicated to ensuring that hospitalised children can have their own dog — or a therapy dog — by their side for comfort, reassurance and happiness during their stay.
Services include the safe transport of dogs, arranging vet checks and coordinating visits at our dedicated unit at CHI at Crumlin and mobile unit at MRH Mullingar.
As we grow, we are seeking an Administration Manager to support our operations and help deliver our services smoothly and compassionately in line with our core values.
This is a varied and rewarding role at the heart of our organisation. You will play a key part in ensuring the charity runs efficiently.
Key responsibilities include:
· Managing administrative operations
· Coordinating volunteer onboarding, e.g. reference checks and Garda Vetting
· Acting as internal lead for GDPR compliance and Garda Vetting
· Maintaining audit-ready records
· Processing and receipting donations, managing banking tasks
· Supporting publications and communications
· Content creation and posting to all main social media platforms including LinkedIn, Meta and TikTok
· Preparation of presentations, reports and updates for internal and external purposes
· Liaising with volunteers
· Building and maintaining strong relationships with relevant individuals and partner organisations
· Developing and managing the Charity’s CRM system
· Managing day-to-day accounts and preparing monthly financial reports and KPI’s
Experience:
· 3-5 years in a high-volume administrative or office management role
· Experience in the non-profit sector or a regulated environment is a significant advantage
Knowledge:
· Strong understanding of Compliance, GDPR and the National Vetting Bureau (Children and Vulnerable Persons) Acts
Skills:
· Advanced proficiency in CRM software and Cloud-based office suites (Google Workspace/Microsoft 365)
· Excellent knowledge of powerpoint, Canva and other design software
· Excellent communications, content creation, writing and social media skills
About You
We are looking for someone who is:
• Highly organised, with the ability to prioritise and multitask
• Self-motivated and comfortable working on their own initiative
• Detail-oriented, with strong administrative accuracy
• A confident problem-solver who knows when to escalate issues appropriately
• In possession of a full driver’s licence
Most importantly, you will be people-focused, proactive and passionate about supporting a meaningful cause.
Location, Hours & Flexibility
· This role is primarily remote, with regular in-person meetings required in Longford, Mullingar or Dublin
· Working hours 10am - 3pm, Mon-Fri (flexibility required)
