Midson Road Veterinary Clinic is an independently owned general practice in Epping, NSW. We are a small team consisting of long-term core staff members and encourage additional veterinary and veterinary nursing students to be part of the team.
Due to Staff Movement, we are searching for a new Permanent Part Time Receptionist. The focus of this role is customer service and administrative support. Experience in client services/reception in a veterinary practice would be seen as advantageous.
This role may suit an experienced vet nurse who is looking to step back a little from the clinical aspects or a freshly qualified vet nurse with experience in administrative and/or client services roles. If you are coming from a client services or reception background, animal handling or experience with animals would be preferred.
Essential Criteria:
• Passionate and committed to caring for our patients and clients.
• Proven experience in a strong customer service role.
• Exceptional customer service and communication skills.
• Possess an excellent work ethic, is reliable and has a stable work history.
• High emotional intelligence.
• Excellent written and spoken English. Other languages would be useful but not essential.
• Motivated with high energy level.
• Intermediate to advance level of computer skills in Word and Excel, email programs and Customer Relationship (CRM’s) management software.
• Knowledge of client booking systems (such as Vision) would be an advantage but we are willing to train the right candidate
• Strong ability to multitask under sometimes stressful conditions.
• Able to work in a team environment and take direction.
• Ability to keep calm under pressure.
• Some knowledge within the veterinary industry
• Ability to commit to 2-3 days per week, ideally Monday, Thursday and Friday, and possible fill ins
Duties Include but are not limited to:
• Greet clients over the phone and email with warmth and professionalism.
• Schedule appointments and manage the clinic’s reception email account.
• Collect and record client and patient information, insurance details and communication notes.
• Collaborate closely with veterinarians and nurses to ensure seamless communication regarding client and patient arrivals/departures, scheduling, documentation, medication orders and other ad hoc requirements.
• Assist with reconciling client accounts, including processing payments, insurance claims, and other financial transactions with third-party payment plan providers.
• Reception-level phone triage, with the support of the hospital’s veterinarians and veterinary nurses.
• Dealing with and managing the clinics email accounts.
• Helping clients with over the counter products.
• Stock deliveries and unpacking.
• Preparing prescriptions under the direction of the veterinarian and ensuring clients understand how to administer medications
• Bank reconciliation
• Managing Social media accounts
• Manage all aspects of clinic administration e.g. Microchips, licences.
• Some cleaning will be required
